DataFlows Sales

B2B sales without e-mails, spreadsheets and retyped documents

DataFlows Sales is the sales platform for exporters and distributors. Customers and sales reps order from a private B2B shop, orders are validated by your rules, and delivery documents are generated from the same order.

  • Private B2B shop, with terms for each customer
  • Quotes with the day’s central bank exchange rate and price history
  • Export documents generated from the order
Why DataFlows Sales

Benefits

B2B orders still often arrive by e-mail, by phone or in an Excel file sent by the sales rep. Someone retypes them into the invoicing software, someone else prepares the transport documents, and the customer asks three times what stage the order is at.

DataFlows Sales puts the order’s whole journey in one place. The customer or the sales rep orders from the catalogue, on the terms set for them. The order is validated by your rules, and the delivery documents are generated from the same data and reach everyone who needs them automatically.

Private B2B shop

Your catalogue, accessible only to your customers and sales reps. Each customer can have its own contracts and terms.

Sales reps with clear limits

The sales rep sees the set prices and orders only within the configured limits. They see their own customers, not their colleagues’.

Validation before delivery

The order goes through validation by a manager or by the configured rules before it reaches the warehouse.

Documents from the same order

Accompanying and export documents are generated from the order data, without filling them in separately.

Linked to the ERP and invoicing

Orders, customers and issued documents flow between the platform and the software you already use.

Visibility over sales

For every sales rep you see quotes, orders and issued documents, compared with the previous period.

Order flow

Three steps, from order to delivery documents

Every order has a clear status, and everyone involved sees the same thing: the customer, the sales rep, the office and the warehouse.

Step 1

Placing the order

The customer orders straight from the B2B shop, or the sales rep places the order for them, within the configured limits.

→
Step 2

Validation

A manager checks and approves the order, or it is validated by rules. The order then reaches the ERP and the warehouse.

→
Step 3

Documents and delivery

The platform generates the accompanying documents and sends them to the customer, logistics and anyone else defined in the flow.

Features

Quoting, orders and customer relationships

Everything a B2B sales department does day to day, linked to stock and to the invoicing software.

Quotes

Quotes are made from the catalogue, with the customer’s prices and terms, and go straight out by e-mail, with a PDF attached.

  • Several currencies, with the central bank rate on the day of the quote
  • Discounts per line and on the whole quote, with configured VAT rates
  • The last price charged to the same customer for the same product, at hand
  • PDF in Romanian or English, cloning and change history
  • From the quote you issue the proforma, delivery note or invoice in the invoicing software

Orders and reservations

A confirmed order reserves stock, and the warehouse sees it immediately in the picking list.

  • Stock reservation after advance payment, with an owner and a PDF document
  • Physical, available, reserved and incoming stock, for every product
  • Partial deliveries, with the rest of the order tracked until closed
  • Allocation by batch and serial number, where needed
  • Controlled import of orders from the ERP: preview, then confirm

Customers, CRM and reports

Each customer’s history sits next to their orders: interactions, quotes, documents, the responsible sales rep.

  • Company details are filled in from the VAT number, via the tax authority’s register
  • Leads, interactions and a sales calendar, with alerts for the next contact
  • E-mail campaigns by customer segment
  • Activity report per sales rep, compared with the previous period, with export
  • Visibility by role: the sales rep sees their customers, the manager sees everything
Export and delivery

Export documents, without manual copying

In export, the hard part isn’t the order but the paperwork that goes with it. We generate it from the same data and send it to everyone who needs it.

CMR and delivery note

Transport documents are filled in from the order: consignor, consignee, goods, quantities, weights.

Packing list

The list of parcels and pallets leaves with the goods, in the format the customer requires.

Declarations and certificates

Declaration of conformity and quality certificate, generated from templates, in the customer’s language.

Configurable templates

Templates can be fixed or editable by your team, with fields and rules set for each document type.

Loading and transport

Truck number, loading supervisor, dispatch date, delivery terms (Incoterms) and AWB.

Automatic sending

Documents reach the customer, logistics and accounting, according to the rules set for each order.

Integrations

Works together with the software you have

Sales doesn’t replace your ERP or your invoicing software. It connects to them over API, EDI or files and keeps the data in sync.

ERP and invoicing

Your software

Items, customers, prices and the fiscal documents issued. The invoice stays in the invoicing software.
